Roster Information
ETUDES NG rosters for the spring quarter will load into ”live” course sites on Thursday, April 3rd around 4 a.m. (see Gradebook Roster or Site Info Participant list). This means that enrolled students will be able to login to ETUDES NG “live” courses starting Thursday. If a student roster does not appear, faculty need to send an email to Judy Baker (bakerjudy@foothill.edu) with details. For other support questions, please use the ETUDES NG Users Group Discussion forums.
IMPORTANT NOTE: If faculty do not want students to login to ETUDES NG courses prior to Monday, April 7th, they can ‘unpublish’ (or disable) the course sites. To ‘unpublish’ – go to Site Info >> Manage Access >> Uncheck publish. JUST BE SURE to remember to publish again it on Monday, April 7th by 8:00 AM! Also, don’t forget to ‘unpublish’ any course sites from the Winter quarter in order to minimize confusion.
Preparations
To prepare for the next quarter teaching with ETUDES NG, check New Quarter Preparations. If faculty are co-teaching ETUDES NG delivered courses, they may need to use Add Participant in order to give co-teachers access to the courses. First the instructor who set up the course site should find out the the co-teacher’s User ID. To give the co-teacher access, go to Site Info >> Add Participant. Enter the co-teacher’s ETUDES NG User ID in the top box. Once this process is finished, an ETUDES NG course site tab will appear at the top of the screen next to other course sites to which the co-teacher belongs.
Information for Faculty to Share with Students
To minimize student confusion, faculty could include additional Syllabus Information. Faculty are encouraged to include instructions in the syllabus, as appropriate, to help students with login steps. If faculty would like to send a Welcome Message for Students, use the Announcements tool, and select high-priority notification. If the students have a valid email address in the system, they will get the message in their personal email/in-box. Otherwise, they will see it when they first log on to the site. Faculty might want to advise students to update their email address (or add one, if they don’t have any) under My Workspace >> Account >> Modify.
For students who are taking an online course for the first time, faculty can recommend that they attend orientation on campus in KCI Room 4008 on Tuesday, April 8, 2008, 3-5 pm or Wednesday, April 9, 2008, 12-2 pm. Also, let students know about COIN 053.01W Learning with ETUDES (2 Units) and CNSL 090.01W Intro to Online Learning (1 Unit).
RegistrationFaculty can always see who is officially enrolled in a course by looking at Site Info (scroll down) in course sites. The information is accurate (reflects official registration data). Keep in mind that it is about 12 hours behind, meaning that if students register on Monday, they will be in your site with Tuesday morning’s roster update. Do NOT alter any information on the Site Info page. This reflects the Registrar’s records. If faculty change the roster in ETUDES, it will revert to the official registration information by the next day.
Another way for faculty to see the official roster is via the Faculty Portal. If faculty see any students marked as “inactive,” it means that they were officially registered but have since dropped the course or were dropped by A & R for non-payment. If faculty need to drop a student, drop them via A & R. ETUDES-NG is not a registration system and is NOT directly synched up with A & R records. The rosters in ETUDES NG course sites get updated only once per day around 4 a.m. If faculty re-instate students with A & R, they will be able to log on the next day – they will become active.
Going forward, rosters will be updated once daily, including late adds. Keep in mind that giving permission to students to add late is not the same as registering them! The morning after students enroll officially, they will be able to login to the course.
